Business Operations Specialist

Position Summary:
Reporting directly to the Controller, LVGEA’s Business Operations Specialist (BOS) plays the central, foundational role in ensuring team members, board members, and agency partners enjoy a meaningful experience when interfacing with the LVGEA Brand. Ideal candidate is positive, outgoing, and profoundly organized. Ideal candidate is experienced in establishing day-to-day processes that enable C-Suite teams to excel. Ideal candidate has strong experience enhancing organizational effectiveness, driving operational efficiencies, and leading teams proactively, identifying and suggesting solutions to optimize workflow. Note: We are a hybrid work schedule – in-office Monday through Thursday, remote on Friday.

Key Responsibilities:

  • Problem Solving: Ideal candidate is a confident problem solver with exceptional organizational and project management skills. Plays key role in standardizing internal agency operations, fostering a cohesive employee experience, and managing day-to-day workflows to enable C-suite leaders to maximize community impact.
  • Meeting & Schedule Management: Plan and book meetings, draft agendas, distribute meeting materials, send meeting recaps and next actions to team members. Empower CEO and COO to run effective meetings by facilitating efficient discussions, clarifying deliverables and coordinating logistical solutions. Create environment where team and board members can thrive – communicating effectively to ensure stakeholders understand and feel connected to the purpose and impact of the work. Book and manage local conference rooms, secure venues, manage in-office facility needs. Builds thoughtful and cohesive experiences for hosted meetings – secures and facilitates meals, refreshments, supplies, and A/V needs. Coordinates travel arrangements for CEO and COO, delivering briefing booklets and travel materials that optimize efficiencies. Work in alignment with agency editorial and operational calendars to deliver outstanding employee experiences.
  • Technology & Automation: Use Microsoft Outlook, Teams, PowerPoint and Excel on daily basis. Leverage AI tools and technology to drive efficiency and automation, such as capturing meeting notes, building agendas, managing CEO’s calendar and daily workflow. Proactively update Controller on daily/weekly/monthly priorities & statuses.
  • Project Management & Scheduling: Develop and manage workplans and schedules to effectively manage multiple high-profile communications workflows. Enables C-suite to consistently and effectively foster positive communications with Board Members, Employees, and Government/Partner Agencies. Oversee key operational information, track progress in centralized trackers, and keep information current and actionable. Build, color-code, and manage the daily calendar for the C-suite, driving an unprecedent level of operational clarity.
  • Operational Efficiency: Facilitate and drive operational efficiencies across the organization to empower stakeholders to achieve goals. Implement repeatable processes and checklists to help cross-functional team members deliver their best work.
  • Board Engagement: Prepare, assemble, and disseminate all documents for Board Meetings and other high-profile, or recurring meetings. Attend Board and Committee meetings as required or requested and prepare and finalize Minutes and follow up on projects and or communication. Attend meeting outside of established working hours when necessary. Maintain Board distribution lists and contact information and update Board Information and Committee Selection Sheets. Plan and oversee logistical arrangements for quarterly board and board committee meetings, including space and facility needs, meals and refreshments, supplies, and technology.
  • Standardize Communication: Seamlessly partner with the marketing communications team and investor relations team to guide structured, purposeful, and precise communications to employees and board members. Categorize communications by purpose, topic, and audience. Assist in creating PowerPoint decks, annual compliance reports, project management trackers, and operational procedures that enable internal and external stakeholders to engage effectively with brand material.
  • C-Suite Empowerment: Represent CEO in meetings, by email, and phone, with internal & external stakeholders. Manage CEO calendar and make recommendations on optimizing time and schedule. Draft letters, emails, reports, and other correspondence on behalf of the CEO. Support CEO and/or COO in meetings by taking notes and communicating role clarity for completion of action items. Act as liaison between CEO/ COO and other internal/external stakeholders and escalates/engages CEO/COO when a decision needs to be made. Ensure timely and effective completion of CEO/COO projects and initiatives.
  • Corporate Compliance: Facilitate and manage files and confidential records for corporate compliance.
  • Office Management: Complete expense reports for reimbursement. Screen, direct, respond to, and prioritize calls and correspondence, facilitating the smooth exchange of information as a first point of contact for staff, board members, and external partners. Manage CEO’s calendar and daily workflow, navigating competing priorities as necessary, and make appropriate and informed decisions regarding available time/energy in alignment with EOS goals. Make deposits of incoming checks. Exercise agility by partnering cross-functionally and performing duties if teams need additional support.
  • Administrative: Facilitate and manage files and confidential records for corporate compliance. Maintain front office and breakroom in a neat and orderly fashion, stock breakroom with any essentials such as water, coffee, and snacks. Serve as key welcome point of employee/visitor experience. Greet and welcome guests upon arrival to the office, entails sitting at office command center at front reception and accepting deliveries.
  • Tracking Impact & Metrics: Drive ongoing improvements while tracking precision, outputs, and impact. Deliver weekly and monthly reports to CFO re: status of all open projects and areas of focus.

Qualifications:
• Bachelor’s degree in Business Administration, Communications, English, Project Management, Brand Management, Operations, or related field preferred
• Minimum of 3-5 years of experience in operational management or a similar role, ideally managing high profile communications, events, and operational systems.
• Exceptional organizational and project management skills.
• Experience with Microsoft Outlook, PowerPoint, Excel, and Teams
• Proficiency in using AI tools and technology to drive meeting capture efficiencies.
• Strong communication and interpersonal skills.
• Experience in executive-level meeting facilitation.
• Ability to work collaboratively with cross-functional teams.
• Tech-savvy, enjoys using digital tools to drive productivity and automation.

Events & Project Manager

The Community Development team is a dynamic, fun, fast-paced team within a regionally connected business organization that strives to advance organizational strategies through engagement, information, events, and storytelling.

POSITION DESCRIPTION – Under the direction of the Vice President of Investor Relations, the Events and Projects Manager is responsible for coordinating investor engagement/events as well as manage project workflow that support the execution of LVGEA’s events and associated activities. This role functions in a highly collaborative environment and has a voice in the creating, planning and promotion of events. This role spearheads fundraising efforts to support events and help execute public high-profile experiences.

We’d like to find someone with excellent attention to detail and project management skills to lead events, and support fundraising, marketing and communications activities. This role operates primarily behind the scenes, although it spends periodic time in outreach with stakeholders to support our economic and community building efforts.

ROLES & RESPONSIBILITIES – We are a small, close-knit team, so you can expect variation and flexibility in what you do day-to-day, but generally you’ll work in these areas:

· Develop an understanding of the requirements for every event and create detailed work back schedules to track project deliverables and inform internal and external partners of project status accurately

· Research vendors and make selections based on their creativity, quality, and cost

· Book venues, schedule guests, draft and finalize contracts, and lock down day-of logistics

· Hire personnel as needed across all functions of an event (ex: registration, setup, catering, audio/visual)

· Handle day-to-day administration of events and programs, including order placements, BEO reviews, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution

· Manage outreach efforts to retain and attract sponsor relationships

· Oversee digital project management dashboards relative to events and investor relations activities to advance, track, and manage the completion of organizational projects effectively

· Lead huddles to align team around project goals, and progress to streamline event operations

· Assigns tasks, delegates effectively, and ensures quality control standards are met

· Monitor and analyze project performance metrics, to identify areas for improvement and implement solutions
