Executive Assistant
Position Type: Full-time, Exempt (40 hours per week)
Salary Range: $70,000 – $85,000 annually based on experience
Reports To: President & Chief Executive Officer
POSITION OVERVIEW:
The Executive Assistant (EA) plays the central, foundational role in ensuring team members, board members, and agency partners enjoy a meaningful experience when interfacing with the Las Vegas Global Economic Alliance (LVGEA) Brand. This role is responsible for establishing day-to-day processes that enable C-Suite teams to excel. Responsibilities include supporting the CEO, overseeing daily operations, managing administrative tasks, coordinating between departments, and implementing process improvements to enhance productivity.
ESSENTIAL JOB FUNCTIONS:
- Operational Efficiency: Facilitate and drive operational efficiencies across the organization to empower stakeholders to achieve goals. Implement repeatable processes and checklists to help cross-functional team members deliver.
- Board Engagement: Prepare, assemble, and disseminate all documents for Board Meetings and other high-profile, or recurring meetings. Attend Board and Committee meetings as required or requested and prepare and finalize Minutes and follow up on projects and or communication. Attend meetings outside of established working hours when necessary.
- Board Oversight: Maintain Board distribution lists and contact information and update Board Information and Committee Selection Sheets. Plan and oversee logistical arrangements for quarterly board and board committee meetings, including space and facility needs, meals and refreshments, supplies, and technology.
- Standardize Communication: Seamlessly partner with the marketing communications team and investor relations team to guide structured, purposeful, and precise communications to employees and board members. Categorize communications by purpose, topic, and audience. Assist in creating presentation decks, annual compliance reports, and project management trackers.
- C-Suite Empowerment: Represent CEO in meetings, by email, and phone, with internal & external stakeholders. Manage CEOs calendar and make recommendations on optimizing time and schedule. Draft letters, emails, reports, and other correspondence on behalf of the CEO.
- C-Suite Support: Support CEO and/or COO in meetings by taking notes and communicating role clarity for completion of action items. Function as liaison between CEO/COO and other internal/external stakeholders and escalates/engages CEO/COO when a decision needs to be made. Ensure timely and effective completion of CEO/COO projects and initiatives. Support the effective management of the CEO’s daily workflow, navigating competing priorities as necessary, and making appropriate and informed decisions regarding available time/energy in alignment with organizational priorities.
- Office Management: Screen, direct, respond to, and prioritize calls and correspondence, facilitating the smooth exchange of information as a first point of contact for staff, board members, and external partners. Make deposits of incoming checks. Exercise agility by partnering cross-functionally and performing duties if teams need additional support.
- Administrative: Maintain front office and breakroom in a neat and orderly fashion, stock breakroom with any essentials such as water, coffee, and snacks. Serve as a key welcome point for employee/visitor experience and assist in general meeting setup and logistics. Greet and welcome guests upon arrival to the office, entails sitting at office command center at front reception and accepting deliveries.
- Ensure strict confidentiality and discretion when overseeing sensitive matters.
- Regular and consistent attendance and punctuality.
QUALIFICATIONS:
Educational Background:
- Bachelor’s Degree: Bachelor’s degree in business administration, communications, or related field is preferred.
Professional Experience:
- Minimum of 3-5 years of proven experience as an Executive Assistant supporting C-Suite executives.
- Exceptional organizational and project management skills.
- Experience with Microsoft Outlook, PowerPoint or Canva, Excel, and Teams.
- Excellent time management skills.
- Proficiency in using AI tools and technology to drive meeting capture efficiencies.
- Effective communication (written and verbal) and people skills.
- Experience in executive-level meeting facilitation.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This position operates primarily in an indoor, environmentally controlled setting. The role may involve exposure to occasional noise or sound levels that could be distracting or uncomfortable. Work is often performed in close physical proximity to others, requiring frequent collaboration and communication.
Essential and marginal job functions may require maintaining physical stamina for extended periods of walking, standing, or sitting, with occasional lifting/carrying up to 30 lbs. The role may involve travel between sites for meetings, client visits, or events. Regular computer use is required for research, data analysis, and reporting, resulting in consistent exposure to computer screens.
